Job Description

Position Summary

United Hospital Fund (UHF) seeks a conscientious, highly organized, and detail-oriented Program Assistant to support the activities of the  Quality Institute.   The Program Assistant will provide administrative and programmatic support for the Quality Institute as well as engage in research, analysis, content production, and convening activities. The Program Assistant reports to the Director of Quality and Efficiency and supports the entire Quality Institute team.  The Quality Institute partners with key stakeholders, develops and promotes innovative quality monitoring and improvement strategies to strengthen and spread best practices across the spectrum of health care settings. We tackle tough questions about how to define and assess quality, engage patients in the delivery of improving services, address health inequities, and are developing the next generation of health care quality improvement leaders.

Specific Duties:

Responsibilities include, but are not limited to:

  • Support quality assessment and improvement initiatives consistent with the goals and priorities of the Quality Institute and provide support on Policy and Program division initiatives as needed.
  • Provide administrative support for day-to-day operations and project-specific meetings (in person, remote, internal and external) as well as larger convenings. Specific responsibilities include working with external partners, organizing and managing travel arrangements and expenses, coordinating with speakers and participants, preparing and coordinating meeting materials.
  • Responsible for interacting with business office for managing all invoices, check requests, and payments.
  • Manage the Quality Institute team members’ calendars to schedule and arrange internal and external meetings. Draft correspondence with external stakeholders and follow-up. Attend internal and external meetings and prepare and distribute meeting notes.
  • Conduct Internet searches and literature reviews.  Synthesize literature, present findings at team meetings, and manage library of research on Zotero, an online reference management system. 
  • Analyze and summarize data; prepare surveys on SurveyMonkey, an online survey platform.
  • Edit, format and finalize documents including letters, reports, and PowerPoint presentations  
  • Assist with maintenance and management of website content, social media, and other online communication as well as maintenance of data in Raisers Edge, a contact management database and other databases supporting the Quality Institute’s programs.
  • Assist with other administrative duties, or other special projects as assigned including UHF convenings.
  • Provide other analytic, technical, and staff support as requested.

 

EMPLOYMENT QUALIFICATIONS:

Minimum Education and/or Experience Required: 

  • Bachelor's degree preferred.
  • Minimum of one to two years of administrative work experience

Knowledge, Skills, and Ability: 

  • Demonstrated interest and commitment to UHF mission
  • Excellent interpersonal and communication skills and ability to work as part of a high functioning team
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced environment independently and in team-based settings.
  • Expertise with Microsoft Office Suite (Word, excel, and power point). Knowledge of SharePoint preferred.
  • Familiarity with Microsoft Teams and managing Zoom meetings.

Salary & Benefits: $58,500 – 65,000, FLSA Exempt Status – UHF offers a competitive salary combined with generous benefits, including health, dental, vision, life, and disability insurance; 403b retirement savings plan with matching funds; paid time off; a commuting subsidy; DEI centered environment.
