  Job Description

The Communications Coordinator is responsible for communications related to marketing, recruitment, donor relations, grant writing and fundraising. The Communications Coordinator reports directly to the Advancement Director and is part of the Advancement Team working with the North America Director.

Employment Type: Part-time 30 hours/week

Responsibilities of the Communications Coordinator:

Communications (70%)

The Communications Coordinator is responsible for overseeing communications Global Teams North America  and International, including but not limited to the following:

  • International Update: Manage the international update newsletter: establish theme, collect and edit copy from staff and volunteers, write content as needed for each area and featured unreached people group, select and edit photos, design, receive monthly prayer calendar from Prayer Coordinator and check for security and accuracy, monitor effectiveness in both hard copy and e-mail.
  • Website: Work with Xcellimark to ensure up-to-date content and a user-friendly experience; work with Advancement Team to create and edit copy for website. Review all content for security.
  • Blog: Procure and edit content received from Field Partners, create and research compelling material including relevant updates in various formats.
  • Assist with Design: Work with Graphic Designer on projects and templates.
  • Social Media: Develop, implement and monitor our strategy and content on applicable social media outlets, including Facebook, Twitter, Instagram, etc. Coordinate content sharing online using Dropbox, Google, Smartsheet, BatchGeo and Hootsuite
  • Fundraising Content: Collaborate with Advancement Team to provide effective content for organization-wide fundraising campaigns.
  • Writing: Create content and design for internal reports, GT newsletters, monthly donor receipt text, annual EOY campaign, emergency communiqués and core documents, then format and distribute both hard-copy and e-mail communication.
  • Use Templates: Use templates for both email and hard copy publishing projects.
  • Publication Materials: Compose or edit all documents related to Global Teams North America, including: marketing materials, FirstWord, Music Mission, Missionary Care, Business-as-Mission, internship opportunities, other publications in support of various projects and ministries.
  • Missionary Newsletters: Receive and edit content from field partners on a quarterly basis, checking for security, clarity and quality. Format in Word and Constant Contact for both solicit and non-solicit states.
  • Mailings: Prepare envelopes, return, envelopes, mailing labels and newsletters for hard copy mailings.
  • Work with Printer: Set up and coordinate print jobs with local printers.
  • Oversee volunteers: for hard copy mailings, thank you notes, etc.
  • Research: Research and report on marketing trends, events, potential partners, unreached people groups, etc.
  • Support: Support North America Director remotely during international travel.
  • Projects: Be available to take on special projects, both short and long-term, which may be outside the realm of direct responsibilities of the position in order to support other staff members and/or to further the overall purpose and benefit of the organization at large.
  • Calendar & Communicate Upcoming Events: Gather information on upcoming events for all of Global Teams and update the website accordingly.
  • Maintain Communications Calendar
  • Internship Postings: Health & Safety research, posting sites, setting up communication system with interns
  • Volunteer Database: Help update and use our database in relation to our volunteers.
  • Notes & Thank You: Help with the follow-up thank yous from events and notes of encouragement to our volunteers.

Fundraising (30%)

The Communications Coordinator is responsible for prospecting grant opportunities for Global Teams and will create letters of inquiry (LOI), grant proposals, applications, and follow-up reports.

  • Prospecting: Research and prospect for grant opportunities, targeting partners whose criteria fit with Global Teams’ vision and mission, goals, activities, and geographic location/s. Responsible for managing and growing Global Teams’ grant database, prioritizing leads and pursuing new opportunities.
  • Grant Writing: Draft LOI and grant proposals, collaborating with project leaders and Global Teams’ staff to collect necessary programmatic, financial and organizational information. Submit applications in keeping with granting foundation/organization’s timetable and requirements.
  • Grant Partner Relations: Maintain and deepen current partnerships and develop new grant relationships. Lead communication with granting organizations including follow-up, reports, and thank-yous.
  • Event Planning: Work with a team and volunteers for the planning and coordination of special events.

  • Experience working on diverse teams, with cross-cultural experience beneficial.
  • Experience working directly with volunteers.
  • Experience with templates for both hard copy and internet publishing
  • Proficient in Office programs, calendar programs and email communication programs
  • Ability to effectively and efficiently conduct research, then summarize and use the information.
  • Experience fundraising through grant proposals, events or organizational campaigns.
  • Enjoyment of writing, with overall strong written communication skills and ability to adapt writing style to various audiences and voices.
  • Strong verbal communication skills, with ability to effectively communicate with a variety of partners and donors.
