  Job Description

We're seeking an energetic and motivated candidate to fill the position of Office & Operations Manager. The primary function of this role is to strengthen the effectiveness of our daily and long-term operations through the provision of administrative, information and communication management support.

 

The responsibilities of the role are varied and require the ability to operate effectively within a small and fast-paced environment. The ideal candidate is passionate about social justice, a self-starter and an excellent problem solver, has prior experience working in a start-up and non-profit environment, and wants to apply their skills to a thriving impact media, education and advocacy organization working globally.

 

REQUIRED EDUCATION/TRAINING

  • Bachelor degree in business, communications, education, nonprofit or related field.

  • 1-2 year experience as an Office Manager, or other related administrative role.

 

REQUIRED SKILLS

  • Familiarity with nonprofit administration and management

  • Expert knowledge of MS Office and Google Drive apps

  • Experience utilizing QuickBooks

  • Excellent Bookkeeping and Accounting skills

  • Excellent verbal and written communication skills

  • Ability to work independently and proactively

  • Excellent organizational skills

  • Ability to exercise high level of discretion and confidentiality

  • Meticulous attention to detail

  • Outstanding ability to prioritize and multitask

  • Ability to work in a fast-paced environment

  • Ability to manage planning logistics for meetings and events

  • A good sense of humor and excellent interpersonal skills

RESPONSIBILITIES

  • Work daily with the Executive Director to leverage time, productivity and efficiency of program operations

  • Act as liaison between Directors and Management Team

  • Maintain communication with Board members, partners and stakeholders

  • Screen all internal and external correspondence

  • Maintain and organize daily calendars and priorities

  • Schedule and oversee weekly staff meetings

  • Prepare correspondence, memos, meeting agendas and other documents as necessary

  • Set up meetings and conference calls

  • Assist staff in general administrative office coverage and tasks

  • Post open positions and schedule interviews

  • Manage employment paperwork and payroll duties

  • Schedule performance evaluations

  • Prepare, mail and track shipments

  • Attend events

  • Assist in all fundraising efforts, screenings and event planning, including writing post-event summaries and analyses

  • Assist with writing and editing grant proposals and follow-ups, including compiling data and crafting project budgets

  • Manage, gather and maintain documents that are necessary to ensure compliance with non-profit business regulations

  • Track internal and external expenditures, enter receipts into accounting software and create expense reports

  • Maintain filing system for receipts and invoices

  • Prepare annual reports and program documents

  • Manage donor/ foundation outreach and correspondence

  • Work collaboratively with the SIMA team to drive the overall success of all programs, including serving as a resource to staff when needed

  • Work on special projects and other duties as needed
