JOB DESCRIPTION

The Operations Manager is responsible for overseeing the financial operations of both the c(3) and c(4), managing administrative projects and office/facilities operations, leading development projects as required, and fulfilling all human resource requirements for the organization.  If you are looking for a challenge and committed to working for justice, this is the job for you.

 

Financial operations

  • Process litigation fees, ensure proper and timely payment to outside counsel and experts, process grant checks, prepare grant memos, manage grant reporting
  • Oversee accounts payable processes; ensure vendors are paid appropriately and in a timely manner, liase with vendors to investigate and reconcile outstanding invoices, ensure accuracy regarding job coding
  • Oversee management of multiple bank accounts for both the (c)3 and (c)4; work with political compliance attorneys ensuring coding practices and allocations are appropriate, write and deposit checks, make account transfers as needed for both organizations
  • State/Federal Compliance: Work with bookkeeper/accounting firm to complete tax return; facilitate annual audit of financial statements, Form 5500, Secretary of State filings

 

Administration

  • Ensure that office administrative personnel complete tasks in a timely manner and prioritize projects appropriately
  • Ensure all organizational insurance is complete and up to date
  • Maintain Operations Manual for organization
  • Office operations- oversee vendor contracts, coordinate facilities maintenance with building management, maintain office machines and security system
  • Administrate office relocation, including lease negotiations, management of tenant improvements, obtaining permits and coordinating construction vendors

 

 

 

 

Development

  • Manages majority of grant proposals and reports; writes compelling public and private entity proposals and progress reports, drafts supplemental materials, metrics and collates required financial documents
  • Monitors compliance to grant requirements and ensures proper tracking of grant revenue; stewards funder correspondence and relations
  • Researches new funding sources and prospective individual donors
  • In-house coordinator annual/bi-annual Rage for Justice awards dinner: coordinates vendors and event staff, supervises design and writes copy for advertising program publication, solicits table packages and oversees ticket sales, administrates all other aspects of event planning

 

Human Resources

  • Facilitate all CW onboarding processes: process documents (health/dental/life insurance, conflict of interest, auto-deposit payroll, 403B contribution, update disability insurance)
  • Manage vacation requests, sick/vacation time and report changes to payroll; ensure salary and payroll deduction changes are made
  • Collect and review staff timesheets; oversee use of staff time tracking software and prepare monthly reports for bookkeeper, other reports as needed
  • Benefits administration: Review health, dental and disability policy annual renewals, manage retirement policy, work with brokers to address staff questions
  • Maintain staff personnel files and strict confidentiality

 

QUALIFICATIONS

  • Bachelor’s degree or equivalent
  • At least three years of experience in nonprofit finance and administration and a strong interest in CW’s core issue areas
  • Proactive, self-directed and extremely well organized, and comfortable working in a deadline-driven, collaborative environment
  • Technically proficient in Word, Excel, with advanced web skills and social media experience
  • Fluency in a second language, especially Spanish, a plus
