Based in San Francisco’s Tenderloin District, the Vietnamese Youth Development Center (VYDC) is a multi-service agency offering services in employment and leadership training, education support and advocacy as well as individual and family counseling for immigrant and low-income youth and their families. The Center’s programs help to divert youth by providing constructive activities that impact their world increase their individual and cultural pride as well as build community spirit. Founded over 40 years ago, VYDC serves over 500 young people of all background each year.
VYDC is seeking a Full-time Program and Administrative Assistant. The Program and Administrative Assistant will support the day to day program and administrative duties at the Center. This includes: assisting with client intakes and files, greeting visitors, answering phones, responding to inquiries, filing, mailing, data entry, special events, preparing/closing office, technology upkeep and special projects. The ideal candidate is able to multitask, detail oriented and is dedicated to the mission of VYDC.
PROGRAM AND ADMINISTRATIVE DUTIES:
Answer phones and route calls to programs and staff.
Warmly greet and welcome clients, visitors and community members.
Refer interested visitors and participants to appropropriate program.
Respond to email, mail inquiries and follow up with response.
Prepare daily client sign-in sheet, update and file previous day sign in.
Assist with entering, completing, and submitting monthly internal and external reports through required reporting systems.
Assist with preparing, reviewing and updating client files.
Attend to facility needs and is the point person.
Prepare, replenish and order office/program supplies.
Daily office maintenance includes checking computers, technology and ensuring facilities are organized, clean and up to date.
Assist with data entry into Salesforce.
Open and close agency gate/doors/sweep and clear front entrance.
Receive incoming and outgoing mail.
Log in letter/mail/bills, etc. daily.
File and organize documents, mail, etc.
Collect and prepare fiscal and admin documents for processing.
Assist with mailing, donation acknowledgment, and activities related to special events fundraising.
Purchase monthly office supplies and program supplies.
Prepare materials and set up for board and committee meetings.
Take board committee meeting notes.
Prepare and mail donation letters for fundraiser.
Attend all necessary training and meetings such as but not limited to monthly agency and program meetings, community meetings, program training, and professional development training.
Participate and assist with agency-wide events and activities.
Performs other duties as required.
KNOWLEDGE AND QUALIFICATIONS
Minimum 4-year college degree or 2-year college with at least 2-year experience in working with a low-income community.
Courteous, friendly and customer service oriented.
Excellent verbal and written communication skills.
Excellent interpersonal skill, patience, diplomacy, and tact.
Excellent organizational skills with attention to detail, accuracy, and ability to meet deadlines and goals.
Good knowledge of math and number oriented.
Proficient in Gmail, Microsoft office suites and familiar with a computer management system.
Ability to maintain accurate and complete files.
Ability to interact with clients from multiple ethnic backgrounds.
Must pass TB and Fingerprint Clearance prior to working at VYDC.
Bilingual in Vietnamese, Cambodian or Lao is a plus.
