Based in San Francisco’s Tenderloin District, the Vietnamese Youth Development Center (VYDC) is a multi-service agency offering services in employment and leadership training, education support and advocacy as well as individual and family counseling for immigrant and low-income youth and their families. The Center’s programs help to divert youth by providing constructive activities that impact their world increase their individual and cultural pride as well as build community spirit. Founded over 45 years ago, VYDC serves over 500 young people of all background each year.
VYDC is currently seeking a Full-Time Program and Administrative Assistant to support our administrative and programs duties on behalf of our organization. The Assistant will split their time with supporting the day to day administrative duties such as conducting client intakes, assessments, assist with housing needs and general office and clerical tasks. The Assistant will work in a team to support office needs and housing program for community members.
70 % CLERICAL AND ADMINISTRATIVE DUTIES:
Answer phones and route calls to specific programs.
Warmly greet and welcome clients, visitors and community members.
Refer interested participants to appropropriate program.
Responding to email, and mail inquiries and follow up with respond.
Prepare daily client sign-in sheet, update and file previous day sign in.
Assist with entering, completing, and submitting monthly internal and external reports through required reporting systems.
Attend to facility needs and is the point person.
Prepare, replenish and order office/program supplies.
Daily office maintenance includes checking computers, technology and facilities are organized and up to date.
Assist with data entry to Salesforce.
Open and close agency gate/doors/sweep and clear front entrance.
Receive incoming mail, and outgoing mail.
Stamp date received letter/mail/bills and logging mail etc.
File and organize all agency documents, mail,etc.
Collect, prepare fiscal and admin documents for processing.
Prepare and mail donation letters for fundraisers.
Purchase monthly office supplies and program supplies.
Attend all necessary training and meetings such as but not limited to monthly agency and program meetings, community meetings, program training, and professional development training.
Participate in the planning of agency-wide events and activities.
Performs other duties as required.
30 % ACCESS TO HOUSING RESPONSIBILITIES
Support and prepare weekly housing clinic workshops.
Assist with intake and screen client for housing needs.
Assist clients with completing housing applications.
Refer clients to agency housing program, and other external service providers as relevant to the needs of the client.
Assist with maintains necessary client files documentation, databases and reporting.
Attend necessary trainings and agency events.
Performs other duties as required.
KNOWLEDGE AND QUALIFICATIONS
Must be able to work between the hours of 9:30 am to 5:30 pm Monday through Friday.
Customer service oriented and friendly.
Proficient in Google and Microsoft office suite.
Excellent verbal and written communication skills.
Must pass TB and Fingerprint Clearance prior to working at VYDC.
Excellent interpersonal and communication skills, patience, diplomacy, and tact.
Excellent organizational skills with attention to detail, accuracy, and ability to meet deadlines and objectives.
Good knowledge of math and number oriented.
Ability to work independently as well as in a team.
Ability to work in a multicultural environment with a diverse staff and clientele.
Ability to maintain appropriate boundaries with clients experiencing extreme stress & remain compassionately detached from the client’s challenge and/or crisis
Bilingual and/or bicultural in Vietnamese is preferred.
