Summary: Under the direction of the Grants and Contract Manager, the Grants and Contract Assistant will work to increase the accuracy of agency-wide data for outcome analysis, improved services, and compliance with agency standards. In addition, the position oversees special projects and will provide administrative support to the CEO. The position facilitates communication amongst the leadership team and assists with the coordination and preparation of materials for meetings and other events.
Responsibilities :
Data Analytics Coordination
- Maintains and develops Efforts To Outcomes (ETO) software processes and protocols to manage services and outcomes related to all of the agency’s programs
- Builds reports using Web Intelligence Business Objects for data integrity, performance management, outcome analysis, and grant reporting
- Assists in training staff and volunteers in using ETO and troubleshooting for staff when needed
- Assigns new users and maintains account access to ETO
- Assists in conducting monthly data team meetings
- Acts as the point-of-contact between ETO account managers and WEAVE
- Works with program managers to improve program and client services through data analysis
- Works with program managers to develop best practices, performance management systems, and outcome measurements
- Produces program audits to report frequency of services, effectiveness of services, and staff performance
- Researches projects assigned by the CEO or Grants & Contracts Manager
CEO Support
- Coordinates and maintains smooth communication between the CEO’s office, internal departments and senior management. Fosters relationships that are crucial to the success of the CEO’s initiatives and to the organization as a whole.
- Successfully completes and follows through on critical aspects of tasks and projects for the CEO with a hands-on approach, including drafting acknowledgement letters, letters of Support, Memorandums of Understanding, and other tasks that facilitate the CEO’s ability to effectively lead WEAVE.
- Prioritizes conflicting demands; handles matters proactively and follows through on projects to successful completion.
Board of Directors Support
- Maintains the Board calendar and handles correspondence.
- Maintains discretion and confidentiality in relationships with WEAVE’s Board Members.
- Assists, coordinates and collaborates with the Board, and others, on various projects and tasks to include:
- Preparing materials for Board meetings and other events
- Preparing materials and coordinating logistics for board orientations and retreat as needed
- Preparing reports for programs and projects for final presentation to board members and committees
- Maintaining data, files and records for the board
Qualifications:
- BA/BS degree from an accredited college or university with a minimum of two years of relevant work experience or a combination of education and relevant work experience equal to four years or more. BS degree in computer science/statistics is a plus.
- SQL or MS Access with strong Excel experience is a strongly recommended.
- Effective interpersonal skills exemplified by initiative, courtesy, diplomacy, positive attitude and professionalism
- Excellent analytical and problem solving skills are a must.
- Must have strong verbal and written communication skills.
- Must be detail oriented, results-oriented and be able to multi-task and work in a fast paced environment.
- Ability to think critically and perform analysis, including recognizing patterns and drawing inferences
- Must work well under pressure and with conflicting deadlines; excellent organizational abilities, set and meet deadlines, be able to manage several priorities in a day; must be dependable, adaptable, and creative; self-motivated.
- Ability to handle and maintain the confidentiality of highly sensitive information.
