Job Description

Position: The Special Events Manager handles all aspects of the Walk to Defeat ALS® program and is responsible for achieving budgeted annual revenue targets for walks, endurance events where applicable, and all other fundraising initiatives in their assigned region.

Location: Greater Orlando

Reports to: Director of Development or designee 

Core Duties and Responsibilities:

Overall Planning – Required to participate in the development of a plan to implement the Walk to Defeat ALS® for the designated territory. The plan will include a timeline for each Walk “season.” The timeline must include deadlines, such as securing permits, material ordering, mailing, sponsorship inclusion, and such.  Identify and implement new Walk/endurance, and/or eventmarkets in the territory through lead analysis, recruitment of eventvolunteer groups and committees, and overall market potential.

Recruitment – Will serve as the point of contact for all forms of communication Walk committee chairs, volunteer leads, team captains, individual participants, corporate sponsors and community leaders. 

Identify, recruit, cultivate and retain new and existing Community Partner Events, and/or other endurance events.

Create and implement the annual stewardship and acknowledgement plan for Community Partner Events, and/or other endurance events.

Manage a tracking system for Community Partner Events, and/or other endurance events for reporting progress

All “leads” are to be entered into the database and the online fundraising system for tracking, follow-up and development purposes. 

Growth and Development: Focus is on growing Walk and fundraising teams, both new and existing Walk and/or other designated events, teams, team captains, individual walkers and Corporate Teams. Responsible, where applicable, for endurance and other fundraising events in designated territory. Responsible for recruiting and building strong committees and teams to secure maximum income growth.

Sponsorship – Network to identify, recruit and secure sponsorship income for Walk and/or other designated events. Conduct individual and corporate recruitment presentations to secure corporate teams and sponsorship dollars. Marketing and Communication – Will work in conjunction with the Director of Marketing and Communications to help execute all marketing communication efforts relating to local and community events in their respective territory.  These communications can includetelevision and radio interviews, print communications and social media.

Project Management – Coordinate all aspects of implementing the Walk to Defeat ALS® program, and/or other designated events in the territory.  Establish projected income goals, develop and implement plans and strategies for meeting income goals for each Walk and/or other designated events in the territory.  Coordinate committee meetings and all related activities in the territory including, but not limited to kick off events 6 to 9 weeks prior to the Walk, endurance or all other events, including post event celebrations.  Plan and execute annual awareness luncheon. Strategically identify corporations and local business with the intent to introduce ALS and the Florida Chapter to secure community support. Outreach to secure In-Kind donations.

Volunteer Management – Recruit leads to identify volunteers in your territory to ensure strong committees, Chairs, and event support. Will work in conjunction with the Chapter’s Volunteer Coordinator to provide volunteers with clear, concise objectives, expectations, job descriptions and goals.  

Financial Management – Required to operate within budgetary guidelines set.  Work with Walk and all other event committees to create budgets for each event in assigned territory.

Reporting – Pull and prepare reports to collect and analyze data for reporting purposes. Reports are uses such as events, committee meetings and data for leadership. Prepare agendas, minutes, presentations, proposals and reports using MS Office software applications, specifically Excel, Word, PowerPoint and Publisher.

Other Duties as Assigned -

Administrative Functions –

  • Ensure that all materials provided and utilized are in accordance with National and Chapter policy and best practices. 
  • Administrative filing and retrieval of records.
  • Must have impeccable grammar, able to proof read, detail oriented, ability to format letters, agendas, and reports using Microsoft Office programs, specifically Excel, Word, PowerPoint and Publisher.
  • Reporting.
  • Keep explicit notes in database, manage tracking tools and spreadsheets.
  • Prepare and update necessary materials as needed to ensure all sponsorship logos and information are included to ensure sponsor fulfillment. 
  • Responsible for updating, ordering, maintaining and distributing all Walk/Ride/Endurance materials including all other events where applicable.
  • Other duties as assigned.
  • Qualifications and Key Skills:
  • College degree or the equivalent combination of education and work experience.
  • 3 - 5 years’ progressive experience in fundraising, managing special events, preferably walks.
  • Proven track record of fundraising success.
  • Experience with volunteer management required.
  • Commitment to accuracy, highly organized, excellent attention to detail, highly efficient and conscientious about thorough follow-up. 
  • Impeccable spelling, grammar, punctuation skills.
  • Skilled communicator, with superior interpersonal, verbal and written skills.
  • Able to handle confidential information and maintain high confidentiality.
  • High degree of initiative, self-motivated, resourceful.
  • Ability to work under and comply with continuous & multiple deadlines and evolving priorities.
  • Team player who enjoys interaction with professionals, peers, volunteers and those served by the organization.

Mandatory Requirements:

  • Intermediate level experience with Word, Excel and PowerPoint. Publisher experience desired.
  • Professionalism - Tactful, react well under pressure, mature work attitude, reliable, resourceful, respectful to others and follows through with commitments. Personable, yet professional and confidential.
  • Must comply with mandatory dress code.
  • Willing and able to commit to a minimum of 50% travel in designated territory to steward constituents and identify new teams, sponsors and volunteers.
  • Must have and maintain a valid driver’s license and a good driving record.
  • Must maintain insurance on automobile driven for business purposes.
  • Must pass a satisfactory background check that includes drug testing and motor vehicle record check.
  • Able and willing to travel within the State of Florida. May require occasional travel outside of Florida for regional or national meetings.
  • Willing and able to drive a cargo van or car within the state of Florida.
