Job Description

Summary: 

The Planned Giving Coordinator (Cultivation) participates in all aspects of the Development Department’s planned giving program.  This position provides administrative and routine support to the planned giving team. The Planned Giving Coordinator is the frontline contact for donors and prospects interested in estate and planned giving. Working with the Planned Giving Manager, this position will maintain a structured, systematic cultivation program for planned giving prospects that will outlast changes in personnel and ensure long-term relationships with donors that encourages present and future philanthropy. This position also acts as back-up support for other areas in the program including, but not limited to bequests, stocks, gift annuities, and stewardship.

Primary Job Functions:

  • Provide general support to the Planned Giving Department, including but not limited to handling information and other requests via phone, email, and mail;
  • Prepare and realize accurate written material including information fulfillment requests, miscellaneous correspondence, gift and pledge letters, and handwritten notes;
  • Enter marketing responses in the database and fulfill information requests promptly;
  • Make follow-up calls to planned giving inquiries, answer questions, document communication, and plan next communication;
  • Remain current on estate-planning practices as well as fundraising and stewardship techniques used in the nonprofit sector by actively participating in professional development;
  • Report out on planned giving prospecting and cultivation activities – from fulfillment to realized gift;
  • Responsible for accurately verifying, inputting, and updating donor information in the database and in reports or spreadsheets;
  • Run report queries for targeted planned giving metrics;
  • Maintain records (digital and hard copy);
  • Under the direction of the Planned Giving Manager, create, manage, and maintain the digital and mail marketing calendar;
  • With the Planned Giving Manager, coordinate and report on the results of planned giving publications including newsletters, e-newsletters, and mailings;
  • Using planned giving marketing software, send out e-newsletter and emails;
  • Conduct prospect research on current and potential donors as needed; qualifying prospects for major giving and facilitating a smooth transition to appropriate development officer;
  • Perform address research for returned mail & updates donor records in the database.
  • Maintain inventory of planned giving materials;
  • Take incoming IRA calls, vet for major giving potential, and follow-up with targeted cultivation;
  • Maintain IRA gifts (research missing gifts, do adjustments and send acknowledgement);
  • Assist other department members as needed and when colleagues are out of office; and
  • Other duties as assigned.

Qualifications –

Education and Related Work Experience:

  • Experience in administrative, customer service support, or other fields requiring exceptional communication skills, project management, and results-driven relationship-building;
  • Database entry and record management; and
  • Creating and manipulating queries and reports.

Knowledge, skills and abilities:

  • Self-starter that enjoys calling donors. Comfort in “cold calling”;
  • Must be able to enthusiastically and accurately represent SPLC to a variety of constituents;
  • Ability to analyze a donor’s or prospect’s financial capacity, charitable and economic interests, level of interest in and linkage to SPLC and draw conclusions from a fundraising perspective;
  • Excellent interpersonal skills, including ease and skill in cultivating relationships with people of diverse backgrounds, ages, and circumstances;
  • Excellent communication skills, with the ability to persuade in speech and writing;
  • Must be able to work in a fast-paced environment with proven ability to manage multiple competing tasks and demands; prioritizing several projects at once;
  • Strong interpersonal skills, including the ability to develop strong working relationships with colleagues, leadership, and funders;
  • Ability to establish goals, objectives, timelines and meet deadlines under pressure;
  • The ability to work independently and/or with a team;
  • Positive attitude and tenacity when faced with obstacles; and
  • Passionate advocate for and commitment to racial justice and anti-racism, diversity, equity, and inclusion principles.

  • Commitment to fostering an anti-racist work culture and to anti-racist principles and learning.
