Summary:
The Planned Giving Coordinator (Stewardship) participates in all aspects of the Development Department’s planned giving program. This position provides administrative and routine support to the planned giving team. The Planned Giving Coordinator is the frontline contact for Partners for the Future, donors and prospects who have made SPLC a part of their estate and planned giving. Working with the Planned Giving Manager, this position will maintain a structured, systematic stewardship program for planned giving donors that will outlast changes in personnel and ensure long-term relationships with donors that encourages and retains philanthropic legacy gifts. This position also acts as back-up support for other areas in the program including, but not limited to bequests, stocks, gift annuities, fulfillment, prospecting, and cultivation.
Primary Job Functions:
- Provide general support to the Planned Giving Department, including but not limited to handling information and other requests via phone, email, and mail;
- Prepare and realize accurate written material including Partner for the Future fulfillment, cards (birthday, sympathy, year-end, thank you), miscellaneous correspondence, gift and pledge letters, and handwritten notes;
- Enter Partner for the Future marketing responses (direct mail, digital, website, FreeWill, etc.) in the database;
- Make welcome and annual calls to Partners for the Future, answer questions, document communication, and plan next communication;
- Remain current on estate-planning practices as well as fundraising and stewardship techniques used in the nonprofit sector by actively participating in professional development;
- With the Bequest Coordinator, coordinate and report out on new Partners for the Future, stewardship activities, pending, and realized bequests. Create and run additional report queries as needed;
- Conduct prospect research on Partners for the Future as needed; qualifying prospects for major giving and facilitating a smooth transition to appropriate development officer;
- Supports engagement strategy to develop greater awareness of SPLC brand to current and prospective donors and assists with the design and implementation of strategies to maintain and expand donor participation;
- With the Planned Giving Manager, assist with planned giving publications including newsletters, e-newsletters, and mailings;
- Responsible for the proper and complete entry of gift information into database, performing address research for returned mail, and updating donor records in the database to insure accuracy of information to encourage future philanthropy;
- Maintain inventory of planned giving materials;
- Provides administrative support, creates queries as needed, assists with special projects, event mailings and calls, Partner ticket/button mailings for events;
- Handles CARS account and donor documentation and stewardship;
- Get with Development writers semi-annually to update all planned giving related letters;
- Working in conjunction with the Bequest Coordinator, support the coordination, development, and implementation of bequest initiatives and pending bequest follow-up;
- Assist other department members as needed and when colleagues are out of office; and
- Other duties as assigned.
Qualifications –
Education and Related Work Experience:
- Experience in administrative, customer service support, or other fields requiring exceptional communication skills, project management, and results-driven relationship-building;
- Database entry and record management; and
- Creating and manipulating queries and reports.
Knowledge, skills and abilities:
- Self-starter that enjoys calling donors. Comfort in “cold calling”;
- Must be able to enthusiastically and accurately represent SPLC to a variety of constituents;
- Ability to analyze a donor’s or prospect’s financial capacity, charitable and economic interests, level of interest in and linkage to SPLC and draw conclusions from a fundraising perspective;
- Excellent interpersonal skills, including ease and skill in cultivating relationships with people of diverse backgrounds, ages, and circumstances;
- Excellent communication skills, with the ability to persuade in speech and writing;
- Must be able to work in a fast-paced environment with proven ability to manage multiple competing tasks and demands; prioritizing several projects at once;
- Strong interpersonal skills, including the ability to develop strong working relationships with colleagues, leadership, and funders;
- Ability to establish goals, objectives, timelines and meet deadlines under pressure;
- The ability to work independently and/or with a team;
- Positive attitude and tenacity when faced with obstacles; and
- Passionate advocate for and commitment to racial justice and anti-racism, diversity, equity, and inclusion principles.
