Summary:
The Administrative Assistant provides administrative support for all Teaching Tolerance programs working closely with the Program Coordinator.
Primary Job Functions:
- Generates and processes contracts for freelancers and consultants in accordance with departmental procedures;
- Processes vendor and freelancer invoices;
- Processes bulk requests for materials;
- Provides customer service support via phone and email;
- Maintains records on the numbers and types of customer service requests;
- Helps maintain accurate customer records on SalesForce;
- Reviews film kit orders in SalesForce;
- Acts as assistant for the director, preparing expense reports, managing calendar, maintaining files;
- Sends out courtesy copies for each issue of the magazine and handles all subscription removal requests;
- Routes all departmental mail and processes returned packages;
- Maintains general files for department;
- Coordinates special occasion events as needed, reserving rooms, securing needed equipment, ordering refreshments;
- Performs additional duties as assigned.
Qualifications –
Education and related work experience:
- 3 years of office or related administrative experience required;
- 2 years of college preferred;
- Strong working knowledge of Word, Excel, e-mail, and the Internet;
- Previous work experience in not-for-profit organization highly desired.
Knowledge, skills, and abilities:
- Excellent communications skills, both written and verbal;
- Must be highly organized and possess the ability to prioritize work;
- Knowledge of business accounting forms such as requisitions, expense vouchers, invoices, and purchase orders required;
- The ability to work in a highly collaborative environment is required;
- Must be able to work independently, as well as on teams, in a fast-paced environment;
- Must be able to work under pressure and meet deadlines.
- Must be flexible to respond quickly and positively to shifting demands and opportunities;
Other Special Considerations:
This job is performed under general office conditions, and is not subject to any strenuous physical demands or dangerous conditions.
