  Job Description

The Grow Brooklyn Free Tax Program  offers free tax preparation to households making $60,000 annually or less, persons with disabilities, the elderly and undocumented immigrant taxpayers.

During the 2018 tax season, GB expects to open at least 5 main locations in Central and South Brooklyn, as well as the Lower East Side in Manhattan, for approximately 100 hours a week for 13 weeks. Each site is located in the offices of a partner organization.

Position Description.  
Grow Brooklyn, Inc. is looking for an Assistant Program Specialist who is excited to support our team. Working closely with the Program Directors and Site Supervisor, we expect to expand our Free Tax Prep Service and achieve maximum results to build on our program’s successes. S/He should have a background or interest in administrative work, tax preparation, and supervision of support staff, as well as, bring both analytical ability and strong communication to this role.

Responsible for: Assisting in supervising Free Tax Prep Campaign team, and providing courteous and prompt support to callers to our Campaign Appointment Hotline. Initially, the Program Specialist will answer telephone calls regarding the 2018 Filing Season, Earned Income Tax Credits, and Free Tax Prep Campaign qualifications. The Program Specialist will screen and/or schedule appointments for qualified callers through an online scheduling system.

As the season gears up, the Assistant Program Specialist will supervise a team of Call Center staff, and augment skills by consulting IRS-provided handbooks.

A list of responsibilities includes, but are not limited to:

  • Plan, allocate, and deliver meal money, then track receipts to volunteer tax sites
  • Plan, order, and track supplies at each site; maintain communication with site staff regarding needed supplies
  • Ensure organization policy is being adhered to at tax sites (client surveys are being completed, staff and volunteer time sheets are being maintained)
  • Collect and distribute time sheets and paychecks respectively
  • Keep sites in line with IRS codes and requirements
  • Track, complete, and return drop-off tax returns
  • Occasionally fill-in for absent Site Manager or Quality Reviewer
  • Coordinate daily reports summarizing staff progress in call center

Preferred Skills:

  • Associates degree
  • 3 years of experience in support staff supervision and working with the public.
  • Within the first few weeks of employment, complete REQUIRED training through the IRS VITA/TCE Program including Specialty Courses, and TaxSlayerPro. (Tax Preparer Certificate at Advanced Level from IRS.)
  • Ability to empathize and communicate with those persons facing economic, social, health, age, and educational barriers in a diverse community.
  • Ability to use sound judgment and initiative to analyze and resolve problems; and work independently with minimum of supervision.
  • Ability to adapt to different demands and work well under pressure.
  • Ability to adapt to variations in work schedule including weekends and evenings.
  • Valid driver’s license and reliable transportation required.
