Job Summary

CureSearch’s temporary part-time Specialist, Operations and Data represents the organization to the public by handling incoming telephone calls and greeting visitors in the National office. The Specialist is responsible for providing, in an effective and efficient manner, facility, administrative, and data support to the organization as defined in the responsibilities below.

 

This is a temporary part-time, non-exempt (hourly) position.  Regular hours are Monday – Friday 10 AM to 2 PM, though requests for a slightly different schedule may be considered.  The pay rate is $16 per hour. 

 

This role may be re-evaluated and considered for permanent status in early 2018. 

 

 

RESPONSIBILITIES

Facility/Administration

  1. Handle incoming telephone calls during assigned work hours in a professional and courteous manner
  2. Greet and receive office visitors in a professional and courteous manner
  3. Maintain cleanliness and organization of the supply room and kitchen area.
  4. Oversee the functionality of all machines in the supply room to make sure they are operating properly, if not, request service
  5. Manage incoming and outgoing mail, including express mail and next-day shipments to/from staff members
  6. Maintain office supplies inventory
  7. Provide office support such as photocopying, word processing, scanning, mailings and executing shipments, postage reports, etc.
  8. Coordinate with vendors who provide office supplies, printing services, water cooler maintenance, etc. to order supplies as needed, schedule services and resolve any issues
  9. Place work tickets with property management for such things as lighting issues, heating or cooling issues, plumbing issues, safety issues, etc.
  10. Assist with answering Donor Services e-mails, including requests from field staff

 

Data/Donor Services

 

  1. Open daily gift mail, make the daily deposit, and send daily gift forms to appropriate development staff
  2. Produce the Daily Gift Report
  3. Complete all matching gift request forms, verify gifts, send in any additional information needed and set up pledges in Raiser’s Edge
  4. Process, print and mail weekly, workplace giving and post-event acknowledgements
  5. Provide data entry support to the Development Department; input donations
  6. Enter website subscriptions
  7. Report on Facebook donations
  8. Manage responses to messages received in the info@curesearch.org box
  9. Support field staff in creating and/or resetting donor database passwords
  10. Helps ensure databases are clean and accurate
  11. Assist in generating queries needed for email communications
  12. Assist with miscellaneous reports as needed

 

Education and experience

  1. Bachelor’s Degree in related field and/or relevant work experience
  2. Prior experience as a receptionist and/or in customer service is desirable
  3. Knowledge of administrative and clerical procedures
  4. Proficient with Microsoft applications (i.e. Word, Excel)
  5. Working knowledge of fundraising databases, data entry, particularly with Raiser’s Edge and/or Luminate, a plus
