POSITION SUMMARY
The Education Division Program Assistant supports the administrative management of education and professional development programs for the CSWE Division of Education. The program assistant will coordinate activities related to CSWE’s education and professional development initiatives, including educational sessions at the Annual Program Meeting (APM), continuing education programs, professional development events through the CSWE Learning Academy and other meetings and events sponsored within the Division of Education.
The position will be expected to assist the Vice President of Education, Manager, Member Engagement and Professional Development, director of meetings and other education division staff in the implementation of initiatives that connect CSWE members with the organization and each other, and help grow their career through professional development, presentation, and service opportunities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Responsibilities include coordination of education offerings for CSWE individual and program members for the Annual Program Meeting (APM), including the APM proposal submission, review and acceptance process, Career Center program development, CSWE Learning Academy activities, and continuing education (CE) certificate processes for education initiatives, supporting the development of member-driven learning communities, and assisting with grant and contract-funded projects within the Education Division.
Duties include the following, as well as other duties and special projects assigned by the Vice President of Education as needed.
Annual Program Meeting (APM)
- Handle the administrative management of the APM Proposal Submission, review and acceptance process including electronic proposal system and CSWE website
- Works with electronic proposal system vendor to develop and document in a cyclical calendar format the annual call for proposals
- Prepares communications brief to marketing for all proposal related email blasts.
- Runs reports and extensive communication with proposal submitters, audits for duplicate titles/proposals, speaker role limits, incomplete proposals
- Coordinates the call for proposals and review process of APM educational sessions through the electronic proposal system
- Assists with recruitment, selection, and assignment of appropriate proposal reviewers
- Prepares proposal acceptance/rejection notification letters
- Assists with recruitment and selection of APM track chairs and co-chairs
- Works with meetings manager to produce a complete APM session schedule (including electronic/technology-enhanced versions)
- Communicate, orient and monitor the review process
- Prepare training for reviewers
Career Center Logistics at APM
- Coordinates programming and identifies speakers for the CSWE Career Center
- Collects descriptions for each session, session title, speakers information and bios
CE Support
- Preparing evaluation forms at APM and adding to mobile app
- Adding offerings to CSWE website and registration site
- Preparing certificates
- Training CE electronic scanner volunteers onsite at the APM
Awards-coordinates the call, review and acceptances for all awards presented at APM

- Carl A Scott Scholarships
- Commission and Council Awards
Other Education Events
Assists with other assigned program support activities in the Education Division, including but not limited to:
- Annual Meeting, grant-funded projects and Education Sessions and activities, including speaker management (contracts, honorariums, scheduling) and correspondence, logistical arrangements, and on-site support, travel reimbursement
- Coordinate education and planning committee meetings and assist with creating badges, tent cards, information packets, copy documents, assist with attendee check-in
- General administrative duties, including word processing, emails, filing, organizing
QUALIFICATIONS, KNOWLEDGE, SKILLS
- Minimum four-year college degree preferred or equivalent work experience preferably in a national membership association and/or social work
- Experience required: Minimum 2 years experience providing administrative support and/or event coordination for educational programs and/or meeting planning, database management, and volunteer management
- Ability to travel to out of town meetings, specifically APM annual meeting and other education events
- Intermediate to advanced skills in MS Office software (Word, Excel, PowerPoint, and Outlook)
- Exceptional writing, editing, and proofreading skills
- Strong organizational skills and attention to detail
- High level of initiative and ability to multitask
- Excellent interpersonal and communication skills
- Experience with production of webinars and/or other web-based events through a learning management system
- Experience with certification or continuing education programs desirable.
- Prefer experience in website maintenance and HTML
ADA SPECIFICATIONS
This position is primarily sedentary and is performed in an office setting. The physical demands of this position are limited to the ability to use a computer, telephone, and standard office equipment; lift up to 25 lbs.; bend; stoop; and carry articles used in program activities. Occasional travel within the United States may be necessary.
