Overview: A community services based, multi-cultural, non-profit agency located in Covina, CA, is seeking an experienced Accounting Specialist to join its Finance Team. This position reports to the Accounting Manager.
Job Summary: Provide accounting support to the Finance Department through maintenance of accounts payable, accounts receivable, payroll/benefits, and recording of revenue and expenses in conformity to non-profit accounting and in compliance with the agency and government regulations.
Payroll: Process semi-monthly payroll using 3rd party payroll company; setup new employees; maintain all employees benefits & deductions; maintain confidentiality of all employees files; import payroll expenses & taxes into the accounting systems submitted from payroll company; reporting of all taxes; process employees’ W2.
Benefits: Reconcile benefits from payroll deductions and providers invoices for accuracy of the billings and deductions being applied.
Act as a lead assisting in Accounts Receivable: record & post daily cash receipts into accounting system; prepare bank deposits; research & resolve cash receipts discrepancies; maintain aging schedule & collection of past dues; filing of all cash receipts for retention.
Act as a lead assisting in Accounts Payable: Process check request; invoice coding; review & assure proper receipt & approval; enter & post all vendor invoices in a timely, accurate manner into the accounting system; print and distribute weekly check run; setup & maintain AP vendor files in accounting system; prepare year-end 1099s; research & resolve vendor invoices discrepancies; maintain & filing of all AP supporting documents for retention.
Review employees credit card and debit card receipts, reconcile credit card and debit card statements and prepare for journal entries.
Record & post all entries made, such as monthly accrual & prepaid journal entries.
Process and record customers’ payments & donations made through credit card terminal.
Act as Treasurer by attending, setup & prepare various off-site fundraising events; balance, record, and reporting of cash receipts and expenses for all fundraising event to Donors, Fund Development, and Management team.
Perform other duties as required.
Assist in on-site grant monitors by providing supporting documents and preparing financial schedules as requested by grant monitors.
Assist in agency year-end audit by providing supporting documents and preparing audit schedules as requested by independent auditor.
Reconcile General Ledger accounts on a monthly basis to ensure accuracy of the agency’s accounting records.
Reconcile all bank accounts and agency’s petty cash accounts monthly.
Maintain monthly fix assets and net asset schedules.
Work with program staff to develop a system for timely entry of data and response to data queries.
The ability to maintain confidentiality of all participant records and other data collected about them.
Some assistance with data analysis, report writing including and compilation of data in table and graphical form.
Education: Bachelor Degree in Accounting or higher strongly desired.
Years of Experience: 2 years of nonprofit payroll experience with an understanding of grant allocations and knowledge of general non-profit accounting.
Computer Skills: MIP Abila or SAGE MIP accounting software experience; proficient in MS Office Suite and Intermediate level in Microsoft Excel required.
Strong understanding and application of non-profit accounting, fund accounting, GAAP, including accrual and prepaid.
Some evenings and weekends are mandatory.
Must possess reliable operating transportation for off-site meetings, bank deposits, errands, and fundraising events.
Must be able to lift, carry, move 25 lbs
