BACKGROUND
Grail Family Services is an established, well-respected nonprofit organization that has been serving families with young children in East San Jose for more than 17 years. Our mission is to strengthen family capacity to support young children’s positive educational outcomes and to build a thriving community.  We serve more than 2000 families annually through our quality, results-oriented programs for parents and children, and through our professional development of child care providers and preschool, kindergarten and 1st grade teachers. Our clients are primarily low income, Latino families with children 0-8 years of age.

POSITION SUMMARY

The GFS Office Manager performs a range of administrative and office support activities to facilitate the efficient operation of the organization. This is a non-exempt, fulltime position, reporting to the Executive Director. The person in this role helps create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, accuracy, and communication. Responsibilities includegeneral administrative support, invoicing and recordkeeping, and facilities management. Specific responsibilities are listed below.

DUTIES AND RESPONSIBILITIES

Administration

  • General office duties, including phones, mail, inventory records, office supplies and managing day-to-day operations
  • Ensure accurate and timely submittal of invoices
  • Oversee general organizational budget with Executive Director
  • Prepare monthly financial reports for Executive Director and Board
  • Prepare Board package for monthly Board meetings
  • Coordinate preparation of financial documents for auditor
  • Prepare and submit payroll information and distribute paychecks
  • Assist in HR related issues, including onboarding new employees
  • Compile and prepare statistical and financial data for reports
  • Maintain complete, accurate and current files, including client and donor databases
  • Greet and provide general support to clients, vendors, and visitors
  • Plan in-house or off-site activities, e.g., parties, celebrations and conferences
  • Other duties as assigned

Facilities management

  • Work with IT, landscapers, fumigator, fire inspector and others to ensure that all systems and facilities are functioning and allow the efficient work of staff
  • Manage contract and price negotiations with office vendors and service providers
  • Other duties as assigned

 

QUALIFICATIONS

  • At least 3 years of experience in office and facilities management, 5 years preferred
  • Proficiency in MS Word, Excel, PowerPoint, Access, Publisher, and Outlook
  • Working knowledge of QuickBooks and payroll systems
  • Bilingual English/ Spanish a plus, but not required
  • Must have a valid California driver’s license, insurance and reliable transportation
  • Some college required, BA or BS preferred

COMPENSATION & BENEFITS

  • This is a fulltime position; must be willing to work some evenings and/or weekends
