  Job Description

National Asian Pacific Center on Aging (NAPCA) is a national nonprofit organization whose mission is to preserve and promote the dignity, well-being, and quality of life of Asian Americans and Pacific Islanders (AAPIs) as they age.  Our administrative office is located in downtown Seattle.

 

We’re seeking an experienced Payroll Specialist to join our team.  In this role, the Payroll Specialist is responsible for payroll and administrative duties including processing and auditing payroll, maintaining payroll data, generating reports, processing tax forms and resolving payroll issues.  The Payroll Specialist works independently and collaboratively with other members of the Finance team.

 

Primary responsibilities:

  • Processes bi-monthly payroll through a third-party vendor

  • Coordinates with managers to receive required payroll documentation

  • Reviews payroll documentation and enter data related to new hires, terminations, and change of status

  • Updates changes in employee tax withholding, direct deposit, benefit changes, and voluntary deductions

  • Reviews timecards for accuracy and completeness; follows up to resolve any problems

  • Manages time-off data to ensure proper accruals and payment

  • Ensures 401K deferrals and match contribution of employees are correctly entered and processed in a timely manner. Processes all 401k transactions in the accounting system to ensure the data is properly recorded.
  • Closes out bi-monthly payroll by importing payroll data into accounting system
  • Generates reports, such as new-hire, expense, vacation liability, 401K, and others, to reconcile data between payroll and accounting systems; provide designated reports to managers and Cash Accountant
  • Researches and resolves any payroll-related adjustments, problems or questions; maintains record of adjustment or resolution
  • Other related duties, as assigned

 

Qualifications:

  • Associate's degree with concentration in accounting
  • Minimum of 2 years’ experience processing payroll
  • Experience with payroll and accounting software.  Knowledge of Paychex and MIP a plus.
  • Intermediate level proficiency with MS Office, especially Word, Excel and Outlook
  • Strong attention to detail and accuracy

  • Adherence to confidentiality and handling sensitive information with discretion

  • Exceptional organizational and time management skills

  • Excellent interpersonal and communication skills

  • Consistent and dependable in communicating updates, and following through on tasks to successful completion

  • Ability to work independently and under pressure

  • Demonstrated ability handle multiple priorities and to shift direction in response to changing work situations

  • Commitment to diversity and sensitive to needs of older populations and people of color
